Privacy Policy

The short version: we only collect information you give us directly. We use it to manage your membership and keep you informed about Club Padel. We don't sell it, we don't share it with third parties for their own marketing, and you can ask us to delete it at any time.

Who we are

Club Padel is operated by Padel Republic Limited, company number 15993373, whose registered address is Fishermans Wharf, Brighton Road, Shoreham-by-Sea, BN43 6RN.

For the purposes of UK data protection law, Padel Republic Limited is the data controller for personal data collected through this website and in connection with Club Padel memberships.

Section 2

What data we collect and why

We collect personal data in the following ways:

  • Registration of interest form — name, email address, and optionally your membership preference. Used to respond to your enquiry and keep you informed about the club opening.
  • Founder Membership application form — first name, last name, email address, phone number, and optionally information about your current play habits. Used to process your application, send your payment link, and manage your membership.
  • Payment via Stripe — payment card details are handled directly by Stripe and are not stored by us. We receive confirmation of payment and basic transaction data (name, email, amount, date).
  • Email communications — if you contact us by email, we retain that correspondence.
  • Website analytics — we use Google Analytics 4 to understand how visitors use the site. This collects anonymised data about page views, traffic sources and device types. No personally identifiable information is collected via analytics.

Section 3

Our lawful basis for processing

We rely on the following lawful bases under UK GDPR:

  • Contract — where processing is necessary to fulfil a membership or manage a pre-membership application.
  • Legitimate interests — where we send you relevant updates about the club's build progress and opening, having obtained your contact details through a direct expression of interest. You can opt out at any time.
  • Consent — where you have explicitly agreed to receive marketing communications.

Section 4

How we use your data

  • To respond to your enquiry or application
  • To send your Stripe payment link if you apply for Founder Membership
  • To manage your membership and communicate membership-related matters
  • To send you build updates, opening information, and club news (you can unsubscribe at any time)
  • To meet our legal obligations

We do not use your data for automated decision-making or profiling.

Section 5

Who we share your data with

We share your data with a small number of trusted service providers who help us operate the club and this website:

  • Netlify — website hosting and form submissions
  • Stripe — payment processing
  • Google — analytics (GA4) and email (Google Workspace)
  • MailerLite — email communications and membership onboarding
  • Zapier — workflow automation connecting the above services

All processors are contractually bound to handle your data securely and only for the purposes we specify. We do not sell your personal data to any third party.

Section 6

How long we keep your data

  • Enquiry / interest form data — retained for up to 2 years from submission, or until you ask us to delete it.
  • Membership data — retained for the duration of your membership and for 6 years afterwards, as required for financial and legal record-keeping.
  • Payment records — retained for 6 years in accordance with HMRC requirements.
  • Email correspondence — retained for up to 3 years.

Section 7

Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data (subject to legal retention obligations)
  • Object to processing based on legitimate interests
  • Withdraw consent where consent is the lawful basis
  • Request that we restrict processing in certain circumstances
  • Data portability — receive your data in a structured, machine-readable format

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies and analytics

This website uses Google Analytics 4 to collect anonymised usage data. GA4 uses cookies to distinguish users and sessions. The data collected does not personally identify you.

By continuing to use this website you consent to analytics cookies being set. You can opt out by using the Google Analytics opt-out browser add-on or by adjusting your browser's cookie settings.

We do not currently use advertising or tracking cookies beyond GA4.

Section 9

Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss or misuse. Payment data is handled exclusively by Stripe, which is PCI DSS compliant. We do not store payment card details.

Section 10

Changes to this policy

We may update this policy from time to time. The date at the top of the page will reflect the most recent revision. Material changes will be communicated to members directly.
